Your contact list is the foundation of every outbound campaign. If the data is wrong, incomplete, or poorly formatted, even a well-configured agent will underperform. Clean input data leads to cleaner execution, better reporting, and fewer operational issues.

Format every phone number in E.164

Every destination number should be stored in E.164 format: +[country code][number] Use no spaces, brackets, dashes, or leading zeros. This is one of the most common causes of failed outbound calls. If numbers are stored in local format, clean them before loading them into your workflow. A badly formatted number may simply fail to connect, which means missed calls and incomplete campaign data.

Include all required dynamic variables

If your prompt uses dynamic fields such as:
  • {{customerName}}
  • {{appointmentTime}}
  • {{leadType}}
  • {{accountNumber}}
then every row in your contact list needs to include a value for those fields. If a variable is missing, the agent may receive an empty value and respond awkwardly, skip information, or read something unusable into the conversation. Fallback values can be configured using Dynamic Variable Defaults, but these should be treated as protection against occasional gaps, not as a substitute for clean data.

Remove duplicates

If the same contact appears twice in your list, the workflow may call them twice. RapidCall does not automatically deduplicate contact lists, because it cannot know whether a repeated record is an intentional follow-up or an accidental duplicate. Deduplication should be handled before the campaign starts.

Add a status column

Include a status field in your contact list so your workflow can track the result of each call. Common values include:
  • pending
  • called
  • no answer
  • booked
  • declined
  • callback requested
Your workflow engine can update this field after each call, making it easier to manage retries, monitor progress, and generate reports directly from your spreadsheet, CRM, or database.

Best practice

A strong outbound campaign starts with a clean list. Before launching, make sure your data is:
  • correctly formatted,
  • complete,
  • deduplicated,
  • and structured to support status tracking and write-backs.
Data quality is one of the most overlooked drivers of campaign performance. A strong agent on a poor contact list will still produce poor results.
